LotPilot does not sell leads or personal information. This Privacy Policy explains what we collect on this dealer-facing website (dealers.lotpilot.com), why we collect it, who we share it with, and the choices you have. It covers both the dealerships and businesses that evaluate or use LotPilot and the car shoppers who interact with dealer inventory and messaging powered by LotPilot. By using this site or our services, you agree to the practices described below.
1. About LotPilot and This Policy
LotPilot ("LotPilot," "we," "our," or "us") is a Delaware C-Corporation with its principal operations and data storage in the United States. We provide an automotive marketing, lead-qualification, and inventory-distribution platform that dealerships use to attract shoppers, answer questions, book appointments, cross-post inventory, and follow up with prospective buyers.
This Privacy Policy applies to this dealer-facing website at dealers.lotpilot.com and to the services we provide through it. We also operate a consumer-facing website at lotpilot.com, which has its own privacy disclosures. This site serves two audiences at the same time:
- Dealers and business prospects who request a demo, run an AI-visibility audit, submit our contact form, or become customers.
- Consumers and shoppers who browse dealer inventory pages, submit inquiries, start a financing pre-qualification, or receive automated calls, texts, or emails that dealers send through LotPilot.
Where a practice applies only to one audience, we say so.
2. Information We Collect
We collect information from both dealers/business prospects and from consumers/shoppers, as described below.
A. Information from dealers and business prospects
When you request a demo, run an AI-visibility audit, submit the contact form, or set up an account, we may collect:
- Your name, business/dealership name, work email address, and phone number
- Job title, website URL, store or rooftop details, and other business information you provide
- Account credentials and communication preferences
- Billing and payment details (processed by third-party payment providers)
- Your IP address and browser/user-agent string, captured automatically when you submit a form (see Section 10)
B. Information from consumers and shoppers
When you interact with dealer inventory or messaging powered by LotPilot, we may collect:
- Your name, email address, phone number, and the content of your inquiry or messages
- The vehicles and pages you view, and appointment or test-drive details you request
- Records of automated or AI-assisted calls, texts, and emails you send or receive (see Section 6)
- Credit-application data if you start a pre-qualification or financing request: your name, address, date of birth, the last four digits of your Social Security number, and employment/income information (see Section 11)
C. Information collected automatically
When anyone visits this site, we automatically collect device and browser information, IP address and general location, pages viewed, actions taken, timestamps, and information from cookies, pixels, and similar technologies (see Section 5).
D. Information from third parties
We may receive information from dealer management systems (DMS) and CRM integrations, lead sources and advertising platforms, our service providers, and publicly available sources.
3. How We Use Information
We use the information we collect to:
- Provide, operate, secure, and improve our services
- Distribute and manage dealer inventory, including cross-posting to third-party marketplaces (see Section 8)
- Answer shopper questions, qualify and route leads, generate messages, and book appointments, including through automated and AI-assisted communications (see Sections 6 and 7)
- Follow up with business prospects who request a demo, audit, or contact us
- Facilitate financing pre-qualification requests you choose to start (see Section 11)
- Measure and optimize advertising, including through the Meta Pixel (see Section 5)
- Analyze AI-search visibility and platform performance
- Send account, transactional, and marketing communications (you can opt out of marketing at any time)
- Detect, prevent, and address fraud, abuse, or technical issues
- Comply with applicable laws and enforce our agreements
We do not sell leads or personal information, and we do not use the personal information we process for a dealer to compete with that dealer.
4. Legal Bases and Roles
For much of the consumer data we handle, LotPilot acts as a service provider or processor on behalf of the dealership you are dealing with, and that dealer determines how the information is used. For our own site operations, marketing, and business-prospect relationships, LotPilot acts as the business or controller. Where more than one party is involved, we each remain responsible for our own handling of your information.
5. Cookies, Tracking, and the Meta Pixel
We use cookies, pixels, and similar technologies to keep the site working, remember preferences and sessions, analyze traffic and performance, and support advertising. You can control cookies through your browser settings and through the cookie controls on this site. For the full list of categories and durations, see our Cookie Policy.
Meta Pixel. The Meta (Facebook) Pixel is live on this dealer site. It initializes Meta's tracking code (fbq) and records a PageView on the pages you visit, along with conversion events as you move through our funnel — for example ViewContent (viewing your AI-visibility audit results), Lead (running the free audit or submitting the audit or contact form, or starting signup), AddToCart and InitiateCheckout (selecting a plan and reviewing your order), AddPaymentInfo (starting checkout), and Purchase and CompleteRegistration (completing a paid signup), as well as Contact or Schedule (contacting us or booking a demo). Some events carry limited context, such as the plan or subscription amount for a Purchase. The pixel sets first-party cookies, including _fbp and _fbc, that help recognize your browser across visits.
Meta Conversions API (server-side). In addition to the browser pixel, we send these same events to Meta directly from our servers using Meta's Conversions API, so measurement still works when the browser pixel is blocked. To help Meta match an event to the right account, this may include a hashed (irreversible) version of your email address, phone number, and name — these are hashed using SHA-256 before they are transmitted, so we do not send Meta your raw email, phone number, or name — together with technical identifiers such as the _fbp/_fbc cookies, your IP address, and your browser's user-agent. The browser and server events share a single event ID so each action is counted only once.
Through the pixel and the Conversions API, this event data is shared with Meta Platforms, Inc. and used to measure and optimize advertising on Facebook and Instagram, including matching activity on this site to Facebook or Instagram accounts for ad measurement and targeting. You can limit the browser pixel using the cookie controls on this site, by blocking or clearing cookies, or by using a content blocker. To opt out of all of this advertising sharing — the browser pixel and the server-side Conversions API — use the Global Privacy Control (GPC) signal: when your browser sends GPC, LotPilot fires no advertising pixel and no server-side advertising events for that browser. California and other state residents can also opt out through our Do Not Sell or Share My Info page.
Google Analytics. We also use Google Analytics 4, provided by Google LLC, to measure how visitors use this site in aggregate — which pages are viewed, how visitors arrive, and where they run into problems — so we can improve the product. Google acts as our service provider for analytics and does not use this data to build cross-site advertising profiles (Google Signals is turned off). Google Analytics sets the first-party _ga cookies and may process a shortened IP address to estimate approximate, city-level location. Because this is analytics rather than advertising "sharing," it is not disabled by a Global Privacy Control signal; you can opt out using your browser's cookie controls or Google's Analytics Opt-out Browser Add-on.
6. Automated and AI-Assisted Communications
On behalf of dealerships, LotPilot places and sends automated and AI-generated outbound communications to consumers, including phone calls, SMS/text messages, and emails, using third-party providers including Twilio. These communications are not always handled by a live person; some or all of a call, text, or email may be generated and delivered by automated systems and artificial intelligence.
By providing your phone number or email to a dealer through LotPilot, or by opting in when prompted, you consent to receive these automated and AI-assisted calls, texts, and emails at the number and address you provide. Please note:
- Calls and messages may be placed or sent using an automatic telephone dialing system, prerecorded or artificial voice, or AI-generated content.
- Message and data rates may apply, and message frequency may vary.
- You can reply STOP to opt out of text messages at any time, and reply HELP for help. You can ask to be removed from calls or emails at any time.
- Your consent to receive automated or AI communications is not a condition of any purchase or of using our services.
We keep records of these communications, including call and message logs and content, to operate the service, support the dealer, and comply with law.
7. Use of Artificial Intelligence and Third-Party LLM Sub-Processors
LotPilot uses artificial intelligence, including third-party large-language-model (LLM) providers, to power parts of our services. Consumer lead, chat, and message data, and related dealer data, may be processed by these providers, which may include OpenAI, Google, Anthropic, xAI, and Perplexity. They act as service providers or sub-processors to help us:
- Answer shopper questions and hold conversations
- Qualify and route leads
- Generate calls, texts, emails, and other messages
- Book and manage appointments
- Analyze AI-search visibility and content performance
These providers are contractually restricted from using the data we send them to train their own models and may use it only to provide services to LotPilot. A current list of our AI and other sub-processors is available on request by emailing privacy@lotpilot.com.
8. Facebook Marketplace, Craigslist, and Cross-Posting
Dealers use LotPilot to automatically post and cross-post their vehicle inventory to third-party platforms, including Facebook Marketplace and Craigslist. If you contact a dealer or respond to a listing on one of those platforms, your interaction there is also subject to that platform's own terms and privacy policies, which LotPilot does not control. Information you send through those platforms may be received by LotPilot and the dealer to respond to your inquiry.
9. How We Share Information
We share information only as needed to run the service, and never to sell leads. We may share information with:
- The dealership you contact or that operates the inventory, messaging, or campaign you interact with.
- Service providers and sub-processors, including hosting and infrastructure providers; Meta Platforms, Inc. for advertising measurement and optimization (see Section 5); Google LLC for website analytics (see Section 5); Twilio for calls, SMS, and messaging (see Section 6); LLM/AI providers such as OpenAI, Google, Anthropic, xAI, and Perplexity (see Section 7); our third-party automation/CRM workflow used to follow up with business prospects (see Section 10); and the credit service used to process financing pre-qualification requests (see Section 11).
- Marketplaces and posting platforms such as Facebook Marketplace and Craigslist, where dealers cross-post inventory (see Section 8).
- Legal authorities when required by law or to protect our rights, safety, or property.
- Acquirers in connection with a merger, financing, acquisition, or sale of assets.
All service providers are required to protect your information and use it only for the purposes we permit. LotPilot does not sell leads or personal information, and does not resell leads to other dealers or third parties.
10. Dealer-Prospect Data (Demos, Audits, and Contact Form)
When a business requests a demo, runs an AI-visibility audit, or submits the contact form on this site, we collect the business contact details you provide (such as name, business name, email, and phone) together with your IP address and browser/user-agent string. We process this information through a third-party automation and CRM workflow so our team can follow up with you, respond to your request, and manage the sales relationship. We use this information for our own business development and do not sell it.
11. Financing and Credit Information
If a shopper chooses to start a pre-qualification or financing request through LotPilot, we collect the information needed to route that request, including your name, address, date of birth, the last four digits of your Social Security number, and employment and income information. We transmit this information to the dealer and/or lender you selected, processed through a third-party credit service.
Pre-qualification is designed as a soft inquiry that does not affect your credit score. A hard inquiry, which can affect your credit score, occurs only with your consent, typically when you move forward with a specific financing application. Our handling of credit information is also governed by our FCRA Notice, which explains your rights under the Fair Credit Reporting Act. Please review it before submitting financing information.
12. Your Privacy Choices and U.S. State Rights
Depending on where you live (for example, California, Virginia, Colorado, Connecticut, and other states with privacy laws), you may have the right to:
- Know and access the personal information we hold about you
- Correct or delete your personal information
- Opt out of the sale or sharing of personal information and of targeted advertising
- Opt out of marketing communications
- Not be discriminated against for exercising your rights
You can exercise these rights by emailing privacy@lotpilot.com. To opt out of the sale or sharing of your information for advertising, use our Do Not Sell or Share My Info page. California residents can find more detail in our CCPA Notice. We honor the Global Privacy Control (GPC) browser signal as a valid opt-out of sale/sharing. You can also opt out of automated calls and texts as described in Section 6 (reply STOP to texts).
13. Data Retention
We retain personal information for as long as needed to provide our services, operate our business, meet legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. Retention periods vary based on the type of data and the purpose for which it was collected; for example, communication logs, lead records, and financing-related records may be retained longer where required. When information is no longer needed, we securely delete or anonymize it.
14. Data Security
We use administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and loss, and we require our service providers to do the same. Sensitive fields, such as credentials and financing data, are handled with additional protections. No system is completely secure, however, and we cannot guarantee absolute security.
15. Children's Privacy
Our site and services are not directed to individuals under 18, and we do not knowingly collect personal information from anyone under 18. If we learn that we have collected such information, we will delete it promptly.
16. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will post the revised version with a new effective date. Your continued use of the site or services after an update means you accept the revised policy.
